WalkthroughPro is a classroom-observation and instructional-coaching platform designed for school administrators and other authorized education professionals. This Privacy Policy explains the types of information we may process when you use the WalkthroughPro website, mobile application, and related services.

We believe trust starts with being clear about what the service does and does not do. We do not sell personal information. We use information to operate, secure, support, and improve WalkthroughPro and to provide the features users request.

Information We Collect

The information we process depends on how you use WalkthroughPro.

Information you provide when creating or managing an account, such as your name, email address, school or organization, role, and profile information.

Walkthrough notes, teacher names, selected T-TESS dimensions, ratings, coaching feedback, timestamps, and other content entered or generated while using the service.

Subscription Information

Plan status, transaction references, and other billing-related records needed to manage subscriptions. Payment card details are handled by payment providers rather than entered directly into WalkthroughPro.

Technical & Usage Information

Information such as IP address, browser or device type, operating system, request logs, feature usage, and diagnostic information used to operate and secure the service.

How We Use Information

We use information for purposes related to providing and protecting WalkthroughPro, including to:

  • โœ“Save and display walkthroughs, reports, teacher records, and analytics
  • โœ“Generate AI-assisted T-TESS coaching when a user requests that feature
  • โœ“Provide customer support and communicate about the service
  • โœ“Maintain reliability, troubleshoot errors, prevent abuse, and protect accounts
  • โœ“Understand product usage and improve features and performance
  • โœ“Comply with applicable legal obligations and enforce our agreements

AI Features

When you use an AI-assisted feature, relevant observation content is sent to an AI service provider so the requested feedback can be generated. WalkthroughPro uses that response to provide suggested ratings, evidence statements, glows, grows, action steps, and other coaching content.

AI is an assistive tool

AI-generated content may be incomplete or incorrect. Administrators remain responsible for reviewing observation evidence, ratings, and feedback before saving or sharing a report.

Users should avoid entering sensitive student-identifying information into observation notes or AI prompts unless their school or district has specifically authorized that use and determined that appropriate requirements are in place.

Service Providers & Sharing

We do not sell or rent personal information. We may share limited information when needed to operate the service or when required by law.

Infrastructure and Technology Providers

We use service providers for functions such as hosting, storage, AI processing, communications, error monitoring, and other technology needed to operate WalkthroughPro.

Payment and App-Store Providers

Subscription transactions may be processed by payment processors or mobile-platform billing services. Those providers process payment information under their own privacy terms.

Authorized School or District Users

Information may be visible to authorized users within the same school, campus, or organization when that access is part of the product's intended functionality.

Legal and Safety Reasons

We may disclose information when reasonably necessary to comply with law, respond to valid legal process, protect rights or safety, investigate fraud or abuse, or secure the service.

Business Changes

If WalkthroughPro is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction subject to applicable law.

Security

We use reasonable administrative and technical safeguards intended to protect account and service information. These include measures such as authenticated access, role-based permissions where supported by the product, secure connections, backups, and operational monitoring.

Retention & Deletion

We retain information for as long as reasonably needed to provide the service, maintain business and security records, comply with legal obligations, resolve disputes, and enforce agreements.

Users may contact us to request account or personal-information deletion. Some information may remain for a limited period in backups, security logs, transaction records, or records we are required to retain by law.

Schools & Districts

WalkthroughPro is designed for use by education professionals, but a school or district remains responsible for determining whether its use of the service is permitted under its own policies, contracts, records-retention rules, and applicable privacy laws.

About FERPA

FERPA requirements depend on the information involved and the circumstances in which a school or district discloses or maintains education-record information. Using WalkthroughPro does not by itself determine a school's FERPA compliance. Schools should follow their own approval and data-governance processes.

Children & Student Data

WalkthroughPro is not a student service

WalkthroughPro is intended for administrators and other authorized education professionals. We do not offer student accounts and the service is not directed to children under 13.

Observation notes should focus on instruction and educator coaching. Users should avoid entering student names or other information that directly identifies a student unless their school or district has specifically authorized that use.

If we learn that personal information from a child under 13 was submitted directly to WalkthroughPro in a manner that requires action under applicable law, we will review the situation and take appropriate steps, which may include deletion.

Your Choices

Depending on where you live and the law that applies, you may have rights relating to personal information, such as requesting access, correction, or deletion.

You can also update certain account information through the product. For requests that cannot be completed in the product, contact us through the Contact page. We may need to verify your identity before completing a request.
